Property Management Support Coordinator

SUMMARY

We are looking for a resilient, detail-oriented team player who is eager to learn and tackle dynamic projects within our thriving company. As a Property Management Support Coordinator, you will be responsible for compiling data for routine internal and external reports, conducting internal audits, supporting corporate initiatives, and providing administrative and operational assistance to our Property Management team, all while delivering exceptional customer service to both internal and external clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Operations Support

• Compile, review, and analyze operational data to support reporting requirements.
• Prepare routine internal and external reports with accuracy and timeliness.
• Conduct internal audits to ensure compliance with company policies, LIHTC requirements, and operational standards.
• Assist with process improvement initiatives by identifying gaps and recommending solutions.
• Support the Property Management team with administrative tasks, scheduling, document preparation, and follow-up.
• Assist in preparing presentations, training materials, and meeting summaries.
• Maintain organized filing systems for reports, compliance documents, and department records.
• Respond to inquiries from internal teams and external partners with professionalism.
• Provide on-site support at properties during audits, trainings, or peak activity periods.

• Assist with maintaining and updating operations websites, including ticklers, announcements, and leaderboards.

HTGM.Store

• Collaborate with vendor on product offerings.
• Manage property merchandise such as swag, collateral, signage, and uniforms; assist with special requests and help standardize store offerings.
• Perform updates to the site as needed.

HTGM Cares

• Promote program initiatives including VTO opportunities, community events, and employee recognition activities.

Jotform Management

• Support automation and process efficiency using Jotform.

• Manage and maintain the following reports/forms:

  • Deposit Accounting Refund Request & Approval
  • CapEx (In-Unit) Request & Approval
  • New Property Website Sign-Off & Approval
  • Regional Manager Monthly Property Inspections (3 total)
  • Request for Contract Signature
  • Truist Card Request & Approval
  • Employee Unit Discount Request & Approval
  • Voucher PTO Request
  • Property Security Quarterly Audit

Reports & Audits

• Maintain Regional Inspection reports for review.
• Track Employee Unit occupancy.
• Prepare Weekly Lease-Up Reports by collecting reports from RPMs.
• Conduct Washer/Dryer Audits.
• Conduct Money Order Audits.

Marketing Support

• Review ILS sites for exposure, accuracy, and optimization.
• Monitor ILS property reviews for correctness and quality.
• Review Market Surveys for accuracy.
• Support Uniform Policy improvements by sourcing apparel and identifying new vendors.
• Create property marketing flyers as needed.
• Assist properties with the development of 3D floorplans.
• Order property signage for new lease-up communities.

Administrative Routine

• Review contracts before EVP signature.
• Process RFS.
• Assist with RFP packages.
• Manage Incident Reports and ensure full resolution.
• Provide Petscreening, Flex utilization, and collections reports to VP.
• Prepare additional departmental reports as needed.

Events

• Coordinate HTGM Live Conference.
• Support planning of property holiday parties.
• Lead logistics for Turkey Giveaway and Luncheon.
• Manage award submissions and participation (BAA, SEEFAA, SCAA, etc.).
• Coordinate upper management conference travel (e.g., FAA).
• Order food for sites and events as needed.
• Coordinate and schedule monthly and quarterly operations calls.
• Organize event prize giveaways in collaboration with VP, EVP, and other departments.
• Assist in planning company meetings, leadership sessions, and regional events.
• Prepare agendas and track key dates for operational scheduling.

Property Support

• Provide remote support to onsite teams as needed.
• Offer ongoing operational assistance to property staff.
• Coordinate travel arrangements for new hires and corporate visitors.
• Respond to resident inquiries and direct them to appropriate contacts.

Special Projects

• Complete ad hoc projects as assigned.

EDUCATION (OR EQUIVALENT EXPERIENCE)

• High school diploma and one to three years of analyst experience
• Associate or bachelor’s degree preferred

SKILLS / KNOWLEDGE / ABILITIES REQUIRED

• Preferred Experience: Yardi Voyager
• Property Management Experience: preferably in LIHTC
• Willingness to travel throughout Florida as needed
• Strong verbal and written communication skills
• Ability to organize and manage multiple projects effectively
• Comfortable speaking and presenting in group settings
• Strong collaboration skills and superior analytical abilities
• Strong attention to detail and personal initiative
• Proficiency with complex Excel workbooks, advanced pivot tables, charts, and graphs
• Ability to produce error-free work and adapt quickly to new assignments
• Demonstrates professionalism, sound judgment, and credibility
• Flexibility within a fast-paced work environment
• Strong technical aptitude
• Ability to remain composed under pressure
• Reliable and punctual attendance
